About the job
We are looking for a dedicated and organised Office Assistant to join our team in our office in Ciudad Guatemala, Guatemala. The Office Assistant will play a crucial role in ensuring the smooth operation of our office by providing administrative support to the Hub Office Staff, and contributing to the overall efficiency of the organisation.
Main Responsibilities
If you join our team, your primary responsibilities will include:
- Handling incoming and outgoing communications, including emails, phone calls, and mail.
- Maintaining office supplies inventory and placing orders as necessary.
- Scheduling and coordinating meetings, appointments, and travel arrangements for team members.
- Supports Marketing & Communications activities at Hub level in coordination with Communications at the International Office (press releases, post for LinkedIn, Translations, planning of photographers visits).
- Filing and organising physical and digital documents for easy retrieval.
- Assisting in the preparation of reports, presentations, and correspondence.
- Providing general administrative support to various departments as needed.
- Logistics and administrative support for internal and external events
- Logistics and administrative support for capacity building projects
Qualifications
- Bachelor’s degree in Business Administration, Communications, or a related field preferred.
- At least 2 years of experience in an administrative or office support role.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Excellent verbal and written communication skills.
- Strong organisational and multitasking abilities.
- Ability to work independently and as part of a team.
