About the job
The purpose of the Executive Assistant role is to provide high-level executive support to the Managing Board, Supervisory Board, and Company Secretary by ensuring seamless organization, communication, and coordination of their activities. The role enables the leadership team to operate efficiently through expert administration, meeting and travel management, and effective project support.
Main responsibilities
Acting as personal assistant to the Managing Board members (Chief Executive Officer, Chief Impact Investment Officer, Chief Investor Engagement Officer and Chief Operating Officer):
- Acting as the point of contact between the Managing Board members and the Supervisory Board and the organization
- Arranging calendars, monitoring email and handling correspondence
- Organising meetings and booking meeting rooms with multiple stakeholders
- Making travel arrangements and detailed travel itineraries
- Provide general administrative support
- Organizing and supporting with various events and projects
Assisting the Managing Board Members, Supervisory Board member and the Company Secretary:
- Preparing financial statements, reports, memos, invoices letters, and other documents
- Researching and conducting data to prepare documents for review and presentation by boards of directors, committees, and executives
- Making meeting minutes and presentations
- Reading and analysing incoming memos, submissions, and distributing them as needed
- Maintaining the current filing and database system, and looking for ways to improve current systems
- Booking travel, preparing itineraries and visa applications and arranging meetings for the Supervisory Board members
- Specific Project Management
Education, skills and experience
- HBO/MBO’s Degree in the field secretary and administrative support or similar
- Minimum of 5 years of experience
- Fluency in English
- In-depth understanding of entire MS Office suite
- Ability to organize a daily workload by priorities
- Must be able to meet deadlines in a fast-paced quickly changing environment
- A proactive approach to problem-solving with strong decision-making skills
- Hands-on and adaptive
- Able to communicate with a wide group of stakeholders with different cultural or professional backgrounds
- Professional level verbal and written communications skills

Additional remarks
The role is open for 4 days, preferably Monday-Thursday.
